Dear Understanding Tech,
This is a year that is testing everyone’s patience! Like dominoes, once we got behind in the fall because of registration/report issues, we never caught up.
The tech assignments are attached. Since I missed a few tech-week requests – I have made some adjustments after meeting with Amy Grabow about assignments. Therefore, *we may need to shift assignments when we get to the theater.* It would only be a couple, if any, but I appreciate the fact that our Tech Team is always willing to step in wherever needed.

Shakespeare Troupe Instructions for Friday
Shakespearians— This Friday is a full costume run for your show! Your costume crew needs to see everything the way it will be on stage so please be sure to do the following:
Ladies: 1. Please wear the proper neutral leotard and tights. If you are playing a girl, you will need neutral tights. If you are playing a boy, you will most likely wear black tights. If you own black tights, please wear them.
2. Please wear your hair pulled back into a low ponytail if you are playing a boy. Ladies playing girls may have different hair styles. For now, if you are playing a girl, please come with your hair “half up/half down”…small ponytail at the crown of the head.
3. If you are playing a girl, please wear character shoes if you have them. If playing a boy, wear jazz shoes. If you were assigned boots, we will have them for you.
Gentlemen: 1. Please wear the proper undergarments. You will wear the tights we assign you…without socks underneath.
2. Wear jazz shoes or dress black shoes.

*ARRIVAL INSTRUCTIONS*
· *Arrive ON TIME**. **This is the single greatest thing you can do to reduce everyone’s stress.*
· *Do not enter building before scheduled time. *Even if HST people are in the building, please wait and come in when you are scheduled.
· *For rehearsals: **students enter at theater lobby*.
o *Check-in/Sign-out sheets* will be on table in lobby.
· *Performers come to theater in**: HST tee shirt, black pants, and closed-toed shoes* (*no sandals/flip flops*). Shoes are theater requirement for backstage.
· *ALL performers need jazz pants for finale. **We prefer to have one CLEAN, hemmed, BLACK jazz pants stay at theater.* You can wear old jazz pants back & forth or black athletic pants, sweat pants, or black jeans.
· *Students/parents must sign-out for rehearsals.*
*Friday & Saturday – all students enter & check in through social hall*.
· All performers arrive by call time unless special arrangements have been made.
· *Students enter at back of building*. Drive to back parking lot to drop off performers.
· Check in at social hall table & immediately put your belongings at your assigned chair.
· Broadway Choir students immediately return to social hall to practice.
· Acting students drop their personal stuff at their assigned chair and go immediately to backstage green room to get microphones on and do sound check. .
· Dance students who are upstairs should warm up *silently* on stage so as not to
interfere with sound checks.
· Dancers in social hall will warm-up when THS member comes down to lead
warm-ups & prayer.
· THS students will lead prayer in each holding area before start of show.
· A Cappella – change into costume at start of intermission & go to social hall to practice.
· Remember: *NO sign out sheets for performance days.*
*BEHAVIOR IN THEATER: * *(NO gum in building!)*
· *REMEMBER** – people can overhear comments. If you do not have something positive to say, don’t say it. No performer is perfect – including you! This is your opportunity to practice treating others as you want to be treated. All comments, gestures, and body language should be positive and encouraging. *
· Students may talk quietly in dressing rooms. However, if the volume is too loud, the costume parents will request silence.
· HST students are known for their gratitude. *Please remember to thank all the costumers, volunteers, theater staff, techies, etc*. who make this show possible.
· *When waiting in wings to go on stage – students must be SILENT.*
· Wednesday we will run in “real time” & all students will have to stay backstage or in the social hall. They cannot watch from wing. Performing is a lot of hurry up & wait – being patient & quiet are important skills. There is a live video of the show that plays in the social hall for those downstairs – as well as puzzles & games.
· Order of the show will be posted in all rooms (it is also attached to this email if you want to print up your own copy). Back Stage Coordinators & Runners will tell students when to costume & when to go wait in staging area & then go to wings.
*DRESS & MAKE-UP REMINDERS*
· *Performers need make-up for WEDNESDAY rehearsal* and performances.
o *ALL performers should wear base, blush and lipstick* to avoid looking sickly under the strong lights.
o *Dance only or Choir only students need base, eye liner and mascara*. You should use a natural color eye shadow. Blush does not need to be as heavy as acting students.
o *Acting students should come to the theater with basic theater make-up on Wednesday *(taught at their workshop) *unless they receive an email with specific make-up instructions* for their character.
· *Have your HAIR up in ponytail or bun – or whatever teacher requested. Bobby pin and hair spray “wisps” and bangs out of face*. *Hair is the most often neglected issue but it is the most distracting to the audience. *
· STUD EARRINGS ONLY & NO WATCHES/JEWELRY* (leave at home or they will get lost).No face glitter, finger polish, jewels, or fake eyelashes.*
· *Pack deodorant in your bag* *– apply double dose and refresh between shows* on Sat. This is a request for ALL performers. It makes a difference backstage!
· *Wear proper undergarments: **leo & tights for* girls, biker style shorts & tank undershirt for guys.
· *Bring MAKE-UP *kits (with your name on it) for touch-ups but all make-up should be put on AT HOME before coming to theatre for Wednesday dress rehearsal & Friday/Saturday performances. *No make-up needed before Wednesday.*
· *Bring all dance shoes* (including flip-flops for dances done in bare feet) *& any costume items that you own & are bringing. *(Costume items stay at theater until last show)
· *A backpack/bag (with name on it) that holds a FEW basics*: brush, make-up, book to read or cards/small game, balls/Frisbee for outside between Sat. shows, ipod and electronic games w/earphones conditionally allowed (see Imp. Notes).
*IMPORTANT NOTES:*
· *No snacks backstage because you cannot eat food in costume**.* Students in social hall can eat non-greasy snacks IF they are not in costume. We prefer that people *not bring water bottles* as they add un-necessary clutter and trash. There are water fountains in both areas. *Plan ahead & eat a good lunch.* *Parents should have snacks available in car for ride home*.
· *All theater rehearsals are CLOSED*. In the same way that you don’t invite dinner guests to come watch you clean the house and cook the meal…..we, too, want to clean-up all the details of the show before we invite an audience to watch
· *Students cannot leave the theater between the matinee and evening performances on Saturday*. Parents will be able to visit with students in social hall where subs and pizzas (if you order them) can be picked up. Otherwise students need to pack food to eat between shows (or you can bring them food). You can eat with them as well.
· *After performances, family and friends can go to the social hall to greet performers.*
· *Videotaping and still photography will be allowed during ALL Showcase performances ONLY from back right & left sections. *(ADA ruled that cameras cannot be set up in the back center as it limits ADA access.)
· *No filming/pictures/texting from seats* as the light is distracting to those around you.
· PLEASE remind your student to take all their shoes/clothes home after the Saturday evening performance. *Acting students will put the items they brought into a brown Trader Joe bag with their name on it & these bags will be put on a table in the social hall.* Please stop by the table & pick up your student’s bag of items.
· *Prop items lent to HST for this show will be put on a table in the social hall.* Please be sure to take home your items. *Let us know immediately if item is missing*.
· *Hand-held games & ipods with ear phones* can be used at student’s risk (these are easily lost) *IF student can still hear when called*. HST reserves the right to ask for ipod/games to be put away and not used if student isn’t able to be where they need to be at the right time.
· *Cell phones will be turned in during reheaersals/performances. *
o Student will place their cell phone in a basket when checking in and pick up their phone when checking out. *The basket will be stored in a locked area by the house managers on duty until dismissal time*.
§ Backstage parent volunteers will facilitate getting cell phones to the locked basket if a student forgets to turn them in.
§ *HST’s preference is that student cell phones simply not come into the theater – unless a student is driving to/from the theater.* There is nothing wrong with living in the moment and focusing on the activity at hand. Parents can keep the student’s cell phones with them so the student can have it right up to, and right after checking-in and out.
§ *One exception: social hall after performances.* Since there is no check-out, we will have a House Manager bring the cell-phone basket to the entrance of the social hall after the shows. Parents/students can pick up the phones so that pictures can be taken with family/friends. (Reminder – students will not be in costume. Order picture CD to get pictures of them in costume.)
§ *WHY?* Now that there is Wifi throughout the theater, cell phones are too great of a distraction and temptation.
§ Students have never been allowed to take pictures backstage but picture taking is so common that they snap pictures without thinking.
§ Friends/family have started texting students backstage during performances – thinking they are encouraging the student, but they are actually very disconcerting for the performer. Actors need to stay focused on their character and not think about the audience.
§ There is too great a risk of losing a phone backstage because we shift personal bags upstairs/downstairs during the process of performing multiple shows. These phones are too expensive to take this risk.
§ The greatest argument for your student to have a cell phone is for communication if something comes up. However, *phones have never been allowed to be “on” during rehearsals/performances*. Emergency information should be sent to 240-997-5796. This cell phone will be held by the House Managers, so they can monitor incoming texts/calls. This is the only way to guarantee your student will get the needed information in a timely fashion.
*FAQ’s*
*Why can’t my child come out to eat with my family between the matinee and the evening performance?*
The simple answer is that there isn’t enough time. By the time students visit with guests in the lobby after the matinee and go back to get their stuff – there is just barely a half hour before they’d need to be back at the theater for the 6PM call. There are not that many close-by restaurants, so sending 115 students out to eat with their families and expecting them to get served, eat and return in a half hour is not realistic.
* Why is “call” (the time a performer needs to be at the theater) an hour before show time even if they are in the second act only?*
Once a show is started, no one has time to check to see if everyone has arrived. With 140 students in the show it is always a great relief when the message gets to staff that everyone has arrived. It takes an hour to get everyone situated, do vocal & physical warm-ups, get mics on actors and set sound levels BEFORE we open the house to the audience (which happens ½ hr. before show time). So, we first focus on getting all those tasks get done in ½ hour and then once the house is open, we take time to pray, give notes, and get the first acts costumed. If all goes well, the first performers have a few minutes to catch their breath & get focused before the curtain goes up.

*Why can’t my child come out to eat with my family between the matinee and the evening performance?*
The simple answer is that there isn’t enough time. By the time students visit with guests in the lobby after the matinee and go back to get their stuff – there is just barely a half hour before they’d need to be back at the theater for the 6PM call. There are not that many close-by restaurants, so sending 115 students out to eat with their families and expecting them to get served, eat and return in a half hour is not realistic.
* Why is “call” (the time a performer needs to be at the theater) an hour before show time even if they are in the second act only?*
Once a show is started, no one has time to check to see if everyone has arrived. With 140 students in the show it is always a great relief when the message gets to staff that everyone has arrived. It takes an hour to get everyone situated, do vocal & physical warm-ups, get mics on actors and set sound levels BEFORE we open the house to the audience (which happens ½ hr. before show time). So, we first focus on getting all those tasks get done in ½ hour and then once the house is open, we take time to pray, give notes, and get the first acts costumed. If all goes well, the first performers have a few minutes to catch their breath & get focused before the curtain goes up.

Take Rt. 355/Rockville Pike (Bethesda) or Veirs Mill Rd. (Silver Spring) to Rt. 28 east (First St./Norbeck Rd.) – turn right.
Go to traffic light at Baltimore Rd and turn right. (Will be 1st or 2nd traffic light)
At the first stop sign turn left (Edmonstron Dr.) and immediate right into Civic Center Park. Theatre is at top of hill.

Prayers to stop flu going thru HST
Dear HST Prayer Warriors,
We have lots of students coming down with flu. We need God to get them well and most importantly to stop the spread. We go into the theater next week and we could be devastated if flu ran through the cast of 142 performers…plus tech & volunteers.
PLEASE pray mightily. Years ago God protected HST from an outbreak of lice right before Showcase. There was not one person infected during show week. God can do that again for us! We are asking that NO ONE will be infected with flu through Showcase – or any of our other shows.
